Sponsor Licence Application Document Checklist

Use this checklist to assemble your evidence pack before submitting a UK sponsor licence application. Documents typically come from multiple categories — the exact list depends on your organisation. Print this or save as PDF for your team.

Group 01

Business registration and structure

Certificate of incorporation (Companies House)
Current confirmation statement
Must be filed and up to date.
Memorandum and Articles of Association
Group structure diagram (if part of a group)
Recent business name change documents (if applicable)

Group 02

Financial evidence

Latest signed or audited accounts
Business bank statements covering the last three months
Statements must show the registered business name and be from the correct trading account.
VAT registration certificate (if VAT registered)
Most recent VAT return (if VAT registered)
PAYE / HMRC employer reference letter or confirmation

Group 03

Premises and operational evidence

Lease, mortgage statement, or licence to occupy for business premises
Recent utility bills addressed to the business
Employer's Liability Insurance certificate
Must be current and from an authorised insurer.
Photographs of the business premises (interior and exterior)
Evidence of trading activity — contracts, invoices, customer correspondence

Group 04

HR and recruitment evidence

Written HR procedures or policies covering record-keeping and reporting
Sample employment contract for the role to be sponsored
Job description and person specification for the sponsored role
Evidence of recruitment activity (advert, response handling, shortlisting)
Right to work check records for existing staff (sample)

Group 05

Key personnel evidence

Authorising Officer — proof of identity and role within the business
Key Contact — proof of identity and contact authorisation
Level 1 User — proof of identity and UK-based employment
Must be a UK-based employee or office holder of the business.
Confirmation that no key personnel have unspent immigration or criminal convictions

Group 06

Sector-specific evidence (if applicable)

CQC registration (health and social care)
Ofsted registration (education)
FCA registration (regulated financial services)
SIA licence (security services)
Premises licence (hospitality and licensed trade)
